Responsibilities of the Finance Assistant

The Finance Assistant will play a crucial role in maintaining accurate financial records and supporting the organization’s financial operations. The core duties include:

Financial Management (50%)
  • Reviewing all financial transactions and ensuring proper documentation.
  • Preparing payment schedules for SMC personnel, ensuring accuracy.
  • Processing invoices and payment vouchers while ensuring correct cost classification.
  • Managing financial documentation, including vouchers, bank details, and financial correspondence.
  • Ensuring compliance with Malaria Consortium’s financial policies and reporting any financial concerns.
Supplier Invoice Management (15%)
  • Tracking supplier invoices and preparing Invoice Authorization Forms.
  • Processing payments to vendors after proper approvals.
Operations Support (30%)
  • Archiving and filing finance-related documents for easy access.
  • Organizing and maintaining finance-related timesheets for all field staff.
  • Ensuring timely delivery of financial documents to the Abuja office.
Additional Responsibilities (5%)
  • Supporting audits by providing relevant documentation.
  • Assisting in asset verification and financial spot checks.

Qualifications and Experience Required

Essential:

  • OND/HND or Bachelor’s degree in Accounting, Finance, or related fields.
  • Minimum of 2 years of experience in finance or accounting.
  • Strong knowledge of Microsoft Excel and financial reporting.
  • Excellent organizational and communication skills.
  • Ability to handle multiple tasks and prioritize work efficiently.

Desirable:

  • Experience working with INGOs is an advantage.
  • Familiarity with NGO donor financial reporting requirements.
  • Knowledge of accounting software is a plus.
