Finance Assistant – Job Details

Key Responsibilities

The Finance Assistant will play a crucial role in ensuring accurate financial documentation, compliance, and financial support to field operations. Responsibilities include:

Finance Work (50%)

  • Review financial transactions and ensure proper documentation and approvals.
  • Cross-check attendance records for program participants to ensure accuracy in payment schedules.
  • Prepare payment vouchers and ensure proper cost classifications and coding.
  • Process payment schedules for training participants, consultants, and workshops.
  • Maintain accurate financial records, ensuring adherence to Malaria Consortium’s policies and procedures.
  • Monitor financial document stock balance and ensure timely replenishment.
  • Collaborate with the Finance Officer to ensure complete financial documentation for every transaction.
  • Advise the Finance Officer on financial concerns and recommend solutions.
  • Maintain and update Excel journals to record all completed payments and share updates with the Finance Officer weekly.

Supplier Invoice Management (15%)

  • Track and process supplier invoices, ensuring proper documentation and authorization.
  • Prepare invoice authorization forms and ensure timely processing of payments.

Operations-Related Work (30%)

  • Organize, scan, and archive finance documents, ensuring easy access for the finance team.
  • Maintain proper filing of all Payment Vouchers (PVs) following Malaria Consortium’s finance manual.
  • Collect and collate timesheets for all field office staff.
  • Monitor and track financial documents sent to or received from the Abuja office.

Additional Duties (5%)

  • Support financial audits by ensuring all required documents are readily available.
  • Assist in asset verification and spot checks as required by the finance team.

Qualifications & Experience

Essential Requirements

  • OND/HND or Bachelor’s Degree in Accounting.
  • At least 2 years of experience in finance, with a minimum of 1 year in an Accounts Officer role.
  • Excellent knowledge of Microsoft Excel and strong analytical skills.
  • Strong interpersonal and communication skills.
  • Ability to manage multiple tasks and prioritize responsibilities effectively.
  • Knowledge of NGO financial reporting requirements.
  • High level of trustworthiness and ability to work under pressure.

  • Prior experience working with international NGOs.
  • Proficiency in accounting software.
