About the Finance Assistant Role

Key Responsibilities

Finance & Accounting Duties (50%)

  • Ensure all financial transactions are properly documented and approved.
  • Review attendance records and prepare payment schedules for SMC personnel and participants in workshops, training, and meetings.
  • Prepare payment vouchers, ensuring correct cost classifications and coding.
  • Handle invoice processing, payment authorizations, and financial correspondence.
  • Assist in safeguarding the organization’s financial resources by reviewing payment requests and ensuring compliance with Malaria Consortium’s policies.
  • Maintain financial records, including tracking payment documents and reconciling expenditures.

Supplier Invoice Processing (15%)

  • Track and process invoices from vendors and suppliers.
  • Prepare invoice authorization forms and ensure approvals from designated personnel.

Operations & Document Management (30%)

  • Oversee archiving, scanning, and filing of financial documents in line with Malaria Consortium’s Finance Manual requirements.
  • Collect and maintain timesheets for all field office staff.
  • Track and ensure timely submission and receipt of payment documents from the Abuja office.

Other Duties (5%)

  • Assist in audits by ensuring that all required documents are readily available.
  • Support asset verification and financial spot-checks.

Job Requirements

Essential Qualifications & Skills

  • Educational Requirement: OND/HND or Bachelor’s degree in Accounting, Finance, or related field.
  • Experience: Minimum of 2 years in a finance role, with at least 1 year in an Accounts Officer position.
  • Technical Skills: Proficiency in Microsoft Excel, financial reporting, and documentation.
  • Soft Skills: Strong analytical skills, excellent communication, and the ability to prioritize multiple tasks.

Desirable Qualifications

  • Previous experience working in an INGO is an added advantage.
  • Familiarity with NGO financial reporting requirements.
  • Working knowledge of accounting software.
  • Strong operational decision-making, stress tolerance, and trustworthiness.
