Job Title: Finance Assistant – Plateau

Job Responsibilities

The Finance Assistant will handle financial documentation, clerical tasks, and accounting services while ensuring that all financial records adhere to Malaria Consortium’s policies. The key responsibilities include:

Financial Management (50%)

  • Reviewing transactions to ensure completeness and approval compliance.
  • Preparing payment schedules for project participants.
  • Processing payment vouchers and ensuring proper cost classification and coding.
  • Managing payment documentation and maintaining accurate financial records.
  • Ensuring timely stock replenishment of financial documents such as vouchers and receipts.
  • Collaborating with the Finance Officer to process payments and maintain accurate journals.
  • Assisting in financial reporting and identifying areas for process improvement.

Supplier Invoice Management (15%)

  • Tracking and processing invoices from suppliers and vendors.
  • Preparing invoice authorization forms and ensuring payments are approved.

Operations & Administrative Duties (30%)

  • Managing finance document archiving, scanning, and filing.
  • Ensuring proper filing of all financial documents in line with organizational policies.
  • Coordinating timesheets and payroll records for field office staff.
  • Keeping track of all payment documents sent to or received from Abuja.

Other Responsibilities (5%)

  • Assisting with audits and making financial documents available.
  • Conducting asset spot checks and physical verification as required.

Required Qualifications & Experience

Essential:

  • OND/HND or Bachelor’s degree in Accounting or related field.
  • Minimum of 2 years experience in finance, with at least 1 year in an Accounts Officer role.
  • Proficiency in Microsoft Excel and other financial software.
  • Strong analytical and reporting skills.
  • Excellent interpersonal and communication skills.
  • Ability to manage multiple tasks effectively.
  • High level of trustworthiness and stress tolerance.

Desirable:

  • Previous experience working with an international NGO (INGO) is an advantage.
  • Familiarity with NGO donor financial reporting requirements.
  • Knowledge of accounting software is a plus.
